Decision & Follow-up

Organizations seeking the financial support of the Ashburn Foundation should direct written grant proposals to the following:

The grant application should be submitted over the signature of the organization's Chief Executive Officer, Chairperson of the Board, or other authorized representative of the organization.

The grant application must be submitted in written form via mail or delivered in person. Please include five (5) printed copies.

Meetings and site visits may be scheduled with the applicant if deemed necessary to make an informed judgment on the request.

The deadline for submitting a grant application for the 2024 year will be November 15, 2025. If the grant application is being mailed, the package must be received on or before the deadline.

  • If you would like, you are welcome to assemble the application in your own format, as long as you ensure all of the requested information is included.

  • The application will request that you include several other documents along with it. Ensure that those are included along with the application before you submit it.

Please include these documents along with your application if they are available:

  • The last three years of 990s for your organization (and/or other evidence from the Internal Revenue Service of the organization’s non-profit status).

  • A Statement of Purpose that includes the amount you are requesting.

  • The Latest Organizational Financial Statements (including the most recent year-end report).

  • If your request is to fund a project, include your itemized project budget containing any other sources of support in hand or anticipated if applicable.

  • If your request is for operating funds, include a proposed budget that would utilize the funds you are applying for.


If you have applied in the past before, including a report of the impact of those funds would be a great way to strengthen your application.

We are happy to assist with any questions you may have; however, we encourage all applicants to take ownership of their application process and demonstrate initiative throughout. Our Funding Policies

An applicant organization must be a tax-exempt 501(c)(3) charitable organization under the Internal Revenue Code to be eligible to receive a grant. The Ashburn Foundation also requires a statement signed by the organization's chief executive officer, board chairman, or other authorized representative that the recipient qualifies as a public charity before disbursing funds. 

Requests for significant capital projects and endowments, as well as requests for administrative, program, or operating support, are eligible for consideration.

James Cecil & Margaret G. Ashburn Family Foundation does not make grants:

  • To individuals;

  • For tickets to charitable events or dinners;

  • For conferences or seminars;

  • To sponsor special events, productions, or performances;

  • For legislative, lobbying, or other political purposes; or

  • To retire accumulated debt.

  • For multi-year grant commitments

Grant Decision

and follow-up Process

The decision to award or deny a grant is made by the board of directors of The James Cecil & Margaret G. Ashburn Family Foundation. The directors make such grant decisions based on the materials submitted by each applicant. Toward the beginning of December each year, the directors meet to review and select the current year’s grant recipients.

Every applicant submitting a request will be notified of the decision in writing shortly after the annual meeting. Award funds will be disbursed after the announcement of the grant award.

Although The James Cecil & Margaret G. Ashburn Family Foundation will consider grant requests from organizations outside the Madison County, Alabama, area, the primary geographical focus is the Madison County area.

Award funds may be expended only for the purpose for which they were granted.
